This handbook details exact, step-by-step procedures for every institutional stakeholder—from initial school provisioning and timetable generation to examination oversight, digital attendance, and parent communication.

1 Institutional Administrator Workflow Manual

The Administrator account serves as the root controller for your institution's tenant, managing data structures, staff credentials, curriculum schedules, and billing registries.

Step 1.1: Academic Year & Campus Setup

Configuring Classes, Sections & Core Terms

Navigate to Admin Dashboard → Classes & Sections. Define standard sections (e.g., Grade 10-A, 10-B) with maximum seating capacity and room allocations. Set academic term dates to lock grading periods.

Step 1.2: Faculty & Subject Mapping

Assigning Teachers to Subjects & Classrooms

Go to Staff Management → Subject Allocation. Pair each teacher with their specialized subjects and specify their weekly maximum teaching hours to ensure the Timetable Engine prevents burnout.

Automating Daily & Exam Scheduling

Open Timetable Engine → Generate Master Timetable. Select the target class sections and click Run Algorithmic Optimizer. The engine evaluates teacher availability, room capacity, and subject weightage to draft a 100% conflict-free weekly matrix. Review and click Publish to Faculty & Students.

Step 2.1: Examination Seating & Invigilation

Open Exam Management → Examination Schedule. Review the draft exam dates, verify non-overlapping slots, and allot invigilator teachers per exam hall. Click Authorize Exam Schedule to lock the timetable.

Step 2.2: Hall Ticket Digital Sign-Off

Navigate to Hall Ticket Central → Pending Approvals. Filter by class section, verify student clearance status (fee clearance and attendance thresholds), and click Sign & Issue Digital Hall Tickets. PDF tickets immediately become downloadable by students and parents.

Monitor real-time teacher and student check-ins from the Executive KPI Dashboard. Review flagged attendance anomalies, behavioral logs, and teacher leave requests with single-tap approval workflows.

Step 3.1: Daily Digital Attendance (1-Tap Sync)

Visit the Staff Attendance Kiosk on any entrance tablet. Enter your Employee ID or scan your personal digital QR pass to register your precise check-in time with geotag validation.

Step 6.2: Leave Requests & Regularization

Staff members can review their monthly attendance ledger, apply for casual/medical leaves, and request clock-in regularizations with automatic notification to the Principal and HR desk.
